Community CoordinatorThis is a specialized position working on-site in our communities. The responsibilities vary from community to community but generally include coordination of community programs and events, communications through web site and newsletters and providing information to residents.

Community Coordinator Job Description

Lifestyle AdjunctOVERVIEW: Performs general clerical and administrative duties, as well as daily facility functions, and live event (social) assistance. This position serves as a representative of C.I.A. Services, Inc., working onsite in one of our communities, full-time. Work hours are on a bi-weekly schedule, excluding certain holidays. Week 1: Sundays and Tuesdays - Fridays, 9 AM - 6 PM. Week 2: Sundays and Wednesdays - Saturdays, 9 AM - 6 PM. This position’s hours occasionally change based on special needs. Initial training hours will vary, typically Monday through Friday, 8 AM - 5 PM.

The following job description is an overview of the position’s responsibilities, however in order to maintain a “team concept,” everyone may be called upon to assist in other areas in order to provide our clients with the best possible service. 

  • Assists the Lifestyle Team with day-to-day responsibilities. 
  • Answers inquiries and questions, handle complaints, troubleshoot problems and provides correct information in a professional manner.
  • Documents all communications in management system as appropriate, including notes and/or comments. Follows up on communications as necessary.
  • May handle a large volume of calls to and from residents, such as, but not limited to facility rentals, facility information, and other general calls regarding the property.
  • Performs basic accounts receivable data entry, such as deposits and invoicing.
  • Performs daily mailing, photocopying, emails, image posting, scanning and filing as needed.
  • Respond to the needs of the Association members.
  • Communicate with members through telephone calls, emails/letters, and/or meetings.
  • Assist members with any Lifestyle related issues they may have.
  • Prepare written correspondence to homeowners.
  • Update Key Names and notes in management system.
  • Assists the Lifestyle Manager with community functions, such as, but not limited to, assistance with planning events and assistance executing events.
  • Facilitates ongoing activities (social) at the facilities.
  • Assists Lifestyle Manager with volunteer solicitation.
  • Coordinate volunteers and hired help for community events as requested.
  • Coordinate with established and new community groups.
  • Assists the Lifestyle Manager performing new resident welcoming’s.
  • Assists with coordinating classes/camps/seminars at the facilities, and coordinating various meetings at the facilities.
  • Attend Board meetings and assist with Agenda and packet preparations for meeting.
  • Ensures electronic access information is up to date.
  • Maintains inventory of all access devices.
  • Must have ability to coordinate calendars and communicate availability.
  • Handles all requests by owners to rent community facilities such as the clubhouse, meeting room, etc.
  • Maintains schedule for onsite private rentals.
  • Coordinates attendants for private rentals and community events where applicable.
  • Follows up with any concerns/issues resulting from any private rentals.
  • Provides manager a rental schedule for weekends/on call purposes.
  • Provides reports related to facility rentals to manager as needed.
  • Assist residents with paddle boat operations: visually inspect each boat to ensure sea worthiness (report issues to team), select proper sized vest and assist riders putting on vests, verbally give safety and operational instructions to every passenger.
  • Legibly record identification, inspect receipts, and utilize boat log to record each responsible party for all boat departures.
  • Monitor activities to ensure adherence of paddle boat rules and safety procedures or/and arrange for the removal of unruly guests.
  • Maintain a consistently clean environment by spot cleaning boats, removing trash, and picking up debris around desk, docks and amenity facilities.
  • Respond to emergency situations effectively and report any boat collisions and accidents to management in a timely manner.
  • Walks facilities/grounds at minimum twice daily to ensure cleanliness and safety standards are being met; report any issues to supervisors.
  • Monitor and report unsafe conditions to management promptly.
  • Coordinates refreshments for all community meetings/seminars.
  • Communicate with manager regarding facility issues, access and inspections.
  • Performs additional responsibilities as needed.

EDUCATION, EXPERIENCE, and TRAINING:

There are no specific requirements for this position.  

 

COMPUTER SKILLS: 

  • Intermediate level keyboard and typing skills
  • Basic Internet skills

The Community Coordinator (CC) shall generally do and perform, or cause to be performed, all acts and things reasonably necessary to conduct community events.  The CC shall also act as editor of the community intranet, newsletter, and event-related communications.  The following job description outlined is an overview of the position’s responsibilities.

  • Coordinate special events and ongoing community activities as approved by the Board and within the constraints of the Association budget
  • Solicit volunteers
  • Coordinate volunteers and hired help for community events
  • Coordinate with established and new community groups
  • Provide photos of community events and group events for Intranet and newsletter
  • Prepare an annual events calendar and budget to be presented to the Board of Directors for approval
  • Attend quarterly Board meetings and prepare a CC Agenda and packet for meeting
  • Conduct monthly Intranet Training Classes for new residents
  • Monitor and manage the content of the Intranet on a daily basis
  • Act in accordance with all decisions made by the Board of Directors related to CC
  • Respond to the needs of the Association members.  Communicate with members through telephone calls, letters, and/or meetings.  Assist members with any CC related issues they may have.
  • Communicate with all entities related to the community events, Intranet and newsletter
  • Participate in training offered by Association and Management Company
